Free Invoice Template for South African Businesses (+ What Must Be On It)
A lot of South African freelancers and small business owners send invoices that look professional but are missing required information. If you're VAT-registered, a missing field means your client can't claim back their input tax. Here's what every SA invoice needs — and a free template to use today.
Two Types of South African Invoices
In South Africa there are two types of invoices relevant to small businesses:
- Standard invoice — for businesses not registered for VAT. No VAT is charged or shown.
- Tax invoice — required when you are VAT-registered. Must meet SARS requirements precisely.
If you're not VAT-registered (turnover under R1 million/year), a standard invoice is sufficient. If you are VAT-registered, you must issue a tax invoice — and it must contain specific fields, or it's legally invalid.
See our full guide on VAT invoice requirements for more detail on the SARS rules.
What Every South African Invoice Must Include
Whether you're VAT-registered or not, a professional and legally sound invoice should include:
- The word "Invoice" (or "Tax Invoice" if VAT-registered) clearly visible
- Your business name and contact details
- Your client's name and contact details
- A unique invoice number
- Invoice date and payment due date
- Description of goods or services provided
- Quantity, unit price, and line total for each item
- Subtotal, any discounts, and total amount due
- Payment details (bank name, account number, branch code)
If VAT-registered, also include your VAT registration number, the client's VAT number (if applicable), and a breakdown of VAT amount vs the VAT-exclusive price.

Why a Template Gets Old Fast
A Word or Google Docs template works for occasional invoicing. But it has real limitations:
- You have to manually update the invoice number every time
- No automatic running totals — easy to make arithmetic errors
- No record of which invoices were paid vs outstanding
- Sending as PDF requires extra steps
- No expense tracking alongside your income
Most small business owners who start with a template switch to an app within a few months — once the manual admin becomes a bottleneck.
